Converting Accrued Sick Leave to Vacation
All classified and unclassified employees with a continuing appointment, not represented by a collective bargaining unit, are eligible to convert accrued sick leave to paid personal leave or vacation per the guidelines set forth below.
Guidelines: The maximum accrued sick leave which can be converted in any fiscal year to either vacation or vacation/personal leave is five (5) days (40 hours) for full-time employees and three (3) days (24 hours) for part-time employees.
Procedure:
- During the first 14 days of September eligible employees will be notified of their right to convert accrued sick leave to vacation.
- Eligible full-time employees may convert up to 40 hours (5 days) in a fiscal year. Eligible part-time employees may convert up to 24 hours (3 days) in a fiscal year.
Limitations:
- The requesting employee must have a balance of at least 500 hours of accrued sick leave (250 hours for part-time employees) in order to request conversion of accrued sick leave to vacation. Employees may check their accrued sick leave balances by logging on to FlashLine and going to the My HR Tab.
- Employees may only convert accrued sick leave to vacation if their current accrued vacation balance is less than the maximum allowed in administrative policy 342-6-11.7(D)(1) which is the amount of vacation that can be earned in a three-year period.
- The maximum accrued sick leave which can be converted in any fiscal year to either vacation or vacation/personal leave is five (5) days (40 hours) for full-time employees, and three (3) days (24 hours) for part-time employees.
- AFSCME employees should refer to Article 32 of the AFSCME agreement for additional information.
Converting Sick Leave to Personal Leave
All classified and unclassified employees with a continuing appointment, not represented by a collective bargaining unit, are eligible to convert accrued sick leave to paid personal leave or vacation per the guidelines set forth below.
Guidelines: The maximum accrued sick leave which can be converted in any fiscal year to either vacation or vacation/personal leave is five (5) days (40 hours) for full-time employees and three (3) days (24 hours) for part-time employees.
Procedure:
- An eligible employee is expected to request conversion of accrued sick leave to personal leave in advance.
- The employee initiates the request by submitting a Request for Leave of Absence form to his/her immediate supervisor for approval.
- Classified employees must also indicate the usage of approved paid personal leave in Kronos. Employees not using the Kronos system should record personal leave on their time cards (classified employees) or on a Request for Leave of Absence (unclassified employees.)
- Payroll will deduct the usage of approved paid personal leave from the accrued sick leave of classified employees. Human Resource Records will process the approved paid personal leave on the Request for Leave of Absence forms for unclassified employees.
Limitations:
- The requesting employee must have a minimum of 120 hours of accrued sick leave after conversion of any sick leave to personal leave (60 hours for part-time employees). The approving supervisor and employee are responsible to ensure that the employee has enough accrued sick leave to meet the minimum requirements stated above. Employees may obtain their accrued sick leave balances by logging onto FlashLine, and then going to the My Hr tab. The maximum accrued sick leave which can be converted in any fiscal year to personal leave is four (4) days (32 hours) for full-time employees, and three (3) days (24 hours) for part-time employees. The approving supervisor and the employee are responsible to ensure that the employee does not convert more than the maximum amount permitted for any fiscal year.
- The maximum accrued sick leave which can be converted in any fiscal year to either vacation or vacation/personal leave is five (5) days (40 hours) for full-time employees, and three (3) days (24 hours) for part-time employees.
- Classified employees who converted 40 hours of accrued sick leave to vacation in September 2004 will not be eligible to convert accrued sick leave to personal leave until the fiscal year beginning July 1, 2005.
- Unclassified employees are able to convert sick leave up to the maximum of four (4) days (3 days for part-time employees) effective February 1, 2005.
