Automobile Rental Procedure
For each vehicle rented, the Employee must execute Enterprises's Rental Contract in the jurisdiction in which the vehicle rental occurs. Each Employee must possess a valid driver's license issued by the state in which such person resides, and must be age 21 or older.
Arrangements
You may make arrangements to rent an automobile for University-related travel in any of the three convenient ways listed below. Vehicles must be rented under Kent State University Account Number NA39Y01 in order to receive contracted rates.
- Through the Enterprise office at 1211 W. Main Street, Kent, Ohio.
Call 330-677-4447 or any of their 60 locations in Northeast Ohio.
- On-line through the Enterprise website at www.enterprise.com
- Click on the “Corporate Reservation “ link
- Enter the “National Account Number“ : NA39Y01
- Enter the first three letters of the company name: KEN
- Follow the remaining screen prompts
- Call 1-800-RENTACAR, which will be connected to the Enterprise office nearest to the renter.
Each renter will be required to arrange for the payment of the rental at the time the reservation is made. This is best accomplished by using the renter's personal credit card. The University's MasterCard Departmental Purchasing card may not be used to rent vehicles. The rental expense will be reimbursed when an approved Expense Statement is submitted to the Procurement Payment group for processing. DIRECT BILL is available only under Special Circumstances with advance approval from the Procurement Department.
Personal Accident Insurance (PAI)
· Any individual renting a vehicle for business use should request "Personal Accident Insurance" (PAI) when renting from Enterprise. Other rental car companies may use slightly different terminology for this coverage. This option provides some coverage similar to uninsured/underinsured motorist coverage.
· Under the university's contract with Enterprise, PAI will cost an additional $3.00 per day for all vehicles rented except mini-vans, pickup trucks, 15 passenger vans and sport utility vehicles. These vehicles will cost an additional $7.00 per day. PAI will be reimbursed along with all other approved travel and rental car expenses.
12 and 15 Passenger Van Rentals
· 12 and 15-passenger vans must be reserved through Campus Environment and Operations. Contact Darwin Friend @ 20818 to make your reservations. http://www.kent.edu/ceo/BusinessAndSupply/Van-Rental.cfm
· Passenger Van Training Requirements. Driver training class is required for the use of all passenger vans seating more than ten (10) occupants. All 12 and 15 passenger van drivers must complete Kent State University's driver safety training program and license checks are required once a year for full-time employees and twice a year for students.
· Passenger Van Driver Requirements. 12 and 15 passenger vans rented in Northeast Ohio are restricted to a minimum age of twenty-one (21) years of age.
· Passenger Van use in Vicarious Liability States. 12 and 15 passenger vans rented in Northeast Ohio may only be operated or used in Connecticut, Florida, Iowa, Maine, Massachusetts, New York, Rhode Island, the District of Columbia, and Canada if all drivers are at least twenty-five (25) years of age.
· Restricted Use of Passenger Vans with Seating for Over 10 Occupants. The van does not meet Federal Bus Safety Standards and can not be used to transport children in the twelfth (12th) grade or younger, other than family members, for school related functions.
