Online Directory Updates - Departmental Listings

Instructions for Updating Departmental Listings in Online Directory:

  1. Search the current online directory on “Find all Departments” to find out if your department is already listed. Reminder: a department or subunit may appear in multiple places. For example, you will notice that ‘payroll’ appears as a stand-alone entry AND as part of the ‘comptroller’ listing. You may need to make updates in two places! If you choose to delegate responsibility for the updates, please forward these instructions to your selected representative.
  2. E-mail the login, password and name of department(s) you’d like that password set for.
    1. If your last name begins with A – M, e-mail ldanes@kent.edu
    2. If your last name begins with N – Z, e-mail rstamm@kent.edu
    3. If you have multiple department listings to which you’d like to make updates, please send the complete list to the respective contact.                                     
      Example: “I need to update listings for University Communications and Marketing, Alumni and Development. Please set my account this way: login – UCM; password – UCM1. I can use the same login and password for all three accounts (unless you want it different for all three accounts)
    4. If you need a department listing created, e-mail the name of the listing as it should appear (include login and password information).
       
      Example 2: “I need a listing added to the directory. Please add Center for Test Test and set the login as: test; password: testing”
    5. Allow up to 48 hours for your account to be set up.
    6. After that time has elapsed, follow below steps
  3. Go to: http://kentstate.kent.edu/phonedirectory/admin/deptlisting.asp
  4. Scroll through the list of departments until you find yours; click on the text for your department
  5. At the login screen, enter your login and password; click on the gray LOG IN button
  6. PLEASE NOTE: ALL primary listings must have at least one subunit so that it will display. If necessary, add one "dummy" subunit listing by using "-" (without the parenthesis). DO NOT DELETE ALL subunits. If you accidentally do so, your entry can still be accessed after logging back in. Log back in and add one "dummy" subunit back to the listing using "-" (without the parenthesis) and the primary listing will reappear.
  7. If you are updating the main listing, click on the title of the department and you will be taken to
    a screen where you can update:
    1. Address
    2. Phone – use this format (000) 000-0000
    3. Fax – use this format (000) 000-0000
    4. E-mail
    5. Web Address
    6. Up to five key contacts and respective titles
    7. After entering, updating, adjusting this data – click the gray UPDATE button
  8. If you are updating subunits within a listing, click the text of that unit. You will have the ability to enter this information:
    1. Unit Name
    2. Address
    3. Phone - use this format (000) 000-0000
    4. Fax - use this format (000) 000-0000
    5. One Courtesy Title (Dr., Mr., Mrs.)
    6. One Name
    7. One Title
    8. E-mail
    9. Web
    10. After entering, updating, adjusting this data – click the gray UPDATE button
  9. You will have the ability to add or delete a subunit to a listing from this screen, as well, by clicking on the text that instructs ‘add office’ or ‘delete office.’ When adding such a subunit, you will have the ability to enter information listed above in 6-a through 6-i.
  10. Please note: if you need to change the name of the primary listing you are updating, you will need to e-mail the change to ldanes@kent.edu, who will request the change from the New Media Center.
