Q. When will the new event registration process go into effect?
A. Phase 1 will begin August 1, 2019 and will include;
- Updated University Event Registration Operational Procedures
- Online event registration
Q. How do I register an event on the Kent campus?
A. Events can be registered through the Virtual EMS portal https://kentstate.emscloudservice.com/web/ . This link is also on the Kent Student Center website under the “TODAY’S EVENTS” tab.
Q. How do I register an event on a regional campus?
A. At this time, you will work directly with your regional campus representative to register space at the regional campus.
Q. What is the definitions of the event statuses; web request, hold, and approval?
A. Web Request: your event has been submitted through the online portal and requires review from UECS staff
Hold: your event has been reviewed by a UECS staff member and requires additional approvals and/or details
Approval: your event registration space request has been approved by the UECS office
Q. How do I get a login for the Virtual EMS web portal?
A. Faculty and staff who scheduled space during the 2018 – 2019 academic year will receive a welcome email from the University Events & Conference Services office with directions on how to setup a password and register space on the Kent campus.
A. President’s of Registered Student Organizations will be identifying three (3) members of their organization that can register space for the 2019-2020 academic year. Those individuals will receive a welcome email from the University Events & Conference Services office with directions on how to setup a password and register space on the Kent campus.
A. Anyone who did not schedule during 2018 – 2019 academic year can visit https://kentstate.emscloudservice.com/web/ and “Request An Account”. Directions oh how to register will be recieved once the login has been approved.
Q. Where can I find “How To” training materials for the Virtual EMS web portal?
A. All materials will be posted on the Kent Student Center website under the “Plan an Event” tab. These materials are also posted in the Virtual EMS web portal under “Links”.
Q. How can I get training for myself or my department for any staff that needs to register space?
A. Please contact the University Events & Conference Services office at firstname.lastname@example.org or 330-672-3202 to schedule a training.
Q. Do I need to resubmit events/meetings I have already submitted to the UECS office prior to 8/1/19?
A. No, if a request was submitted to the UECS office before 8/1/19, it does not need to be re-submitted into the Virtual EMS web portal.
