Scheduling Events and Facilities

  1. Space Requests:
    Written, electronic or oral requests for facilities can be made to the University Scheduling Office in four ways:
    • In person: the University Scheduling Office is located in room 106 on the first floor of the Kent Student Center, directly behind the information desk

    • Via phone: (330) 672-3202

    • Via web: Google Form >

    • Via email: toscheduling@kent.edu

  2. Request Timeline:
    Requests to use space must be made within the timeline below
  • Kent Student Center
    • i. Kent Student Center general meeting facilities: 24 hours in advance
    • ii. KSC Rathskeller: minimum of 1 week in advance
    • iii. Kent Student Center, Kiva, Dining Room, 2nd floor Windows, and Ballroom: must be confirmed a minimum of 2 weeks in advance, so start early!
  • Academic Buildings
    • i. 1 week in advance for all buildings with the exception of Cartwright, Rockwell, and Moulton Hall
      • 1) Cartwright Hall & Rockwell Hall: 1 month prior to event
      • 2) Moulton Hall: 2 weeks prior to event
      • 3) Classrooms with a Swipe Card needed: 2 weeks minimum
  • Outdoor Areas
    • i. Most outdoor areas - 1 week in advance
    • ii. Student Green & KSC Plaza – 2 weeks in advance

NOTE: Most programs occurring outside are required to have trash receptacles. Charges for receptacles will be billed to the scheduling group. Contact Scheduling Office for additional details.

3. CANCELLATIONS: All cancellations should be submitted via email to: toscheduling@kent.edu, you will receive a confirming cancellation acknowledgement.

4. Hold Policy: Facilities (excluding lobby tables) may be put on hold for a maximum of 30 days to

Confirmed confirmation of event details will be sent via e-mail once final arrangements are
