Student Organization Registration and Website Creation
Studies have shown that students who are involved on campus are more successful. Luckily, Kent State University has several student organizations to choose from when looking for opportunities to get involved. In fact, we have 365 active student organizations as of the Fall 2015 registration deadline.
Kent State’s Center for Student Involvement is in charge of the student organization process (new and renewed). Their mission is “To foster student growth and development through leadership, civic, cultural, and involvement opportunities”. The team is led by Dr. Timeka Rashid and they are located on the second floor of the Student Center.
In April of 2015, the System Development Services (SDS) team was asked to rewrite the current registration application and add the ability to renew student organizations. Orgs are required to register every Fall term but cannot simply renew. In addition to the above, CSI requested an automated way to create and publish individual student org websites.
So, the SDS team embarked on a quest to revamp the existing workflow using our new Outsystems platform.
The team created a registration application and profile form allowing student officers to submit requests which are routed to their faculty advisor for approval. Once the faculty advisor approves, it is routed to CSI who reviews the information and completes the registration process.
In order to allow the CSI team to manage the process from beginning to end, the team developed some administrative tools. CSI can enter and manage registration cycle dates as well email communications giving them control over the entire process.
A critical component for any student organization is getting the word out. Therefore, our team established a data integration process that automatically transmits information to Drupal and creates a unique org website. This happens daily without human intervention. This is such an improvement over the previous manual push of data!
