Event Requests

STARK CAMPUS IN-PERSON EVENT REQUESTS

The following in-person event request protocols apply to ALL indoor and outdoor events and activities at Kent State Stark during the COVID-19 pandemic.

Virtual/remote events are highly encouraged and preferred.

Per the Ohio Department of Health Recommended Best Practices for Institutions of Higher Education“Consider virtual rather than in-person student activities and general campus events where practicable.”  


EVENT PLANNING TIPS & REQUIREMENTS

Events, meetings and gatherings at Kent State Stark must adhere to the following:

  • All participants must follow Flashes Safe Seven.
  • Event hosts must provide a registration process for those in attendance for contact tracing purposes. A full list of all participants will need to be submitted prior to your event and then updated immediately after your event. 
  • Event hosts should have a back-up plan to host a virtual event or an event cancellation plan in case the Stark Campus must shut down abruptly in order to comply with current health guidelines, or if it is determined that your event can no longer be held in person due to health and safety reasons.
  • Events should take place Monday through Friday between the hours of 6:30 a.m. and 10 p.m.  
  • For indoor events, consider preferred campus spaces that allow for adequate physical distancing such as Main Hall Auditorium, 101 Science & Nursing or the Fine Arts Theatre.

STEPS TO REQUEST A STARK CAMPUS EVENT

 
Step 1: Review & Follow Guidelines

Review and follow the Kent State University events and activities guidelines prior to making your request at the Stark Campus.

Step 2.  Submit your Stark Campus Event Request   

The Stark Events Advisory Committee will review your request and make a recommendation to the campus dean for a final decision. The committee may request additional information from you about your event. An email response (approval or denial) to your request could take up to seven days.

Step 3. Schedule your Space

If your event is approved, complete the Stark Campus room and space scheduling form via Virtual EMS.

Due to physical distancing guidelines, not all indoor rooms and spaces may be available. The committee will make recommendations on which campus spaces could safely accommodate your event.

Step 4.  Submit a Completed Checklist

Submit a completed Stark Campus Events & Activities Checklist seven days prior to your approved event date.
