Digital Storage Changes

Changes in the terms and conditions associated with our digital storage providers (Google and Microsoft) will result in changes related to digital file storage. These changes will be occurring over the next 18 months and may require you to take one or more actions.  

How does our digital storage work?

Kent State University provides email services and digital storage through both Microsoft and Google.  

Over the last two years, we've been progressively moving towards a more secure workspace that is in alignment with the resources provided to us by our vendors. This is important because our vendors have changed the terms and conditions around how much space is provided to the university and what the costs are for those services. 

What changed?

Google discontinued unlimited storage for colleges and universities. Additionally Microsoft has restructured how much storage is allocated to institutions with their licensing model. The reason for these changes stem from the increased adoption of digital tools, particularly increasing during the pandemic.

What's staying the same?

Generally speaking, you will still have access to all of the workplace productivity tools in both Google and Microsoft environments. 

What do we need to do differently?

To navigate these changes, the following adjustments are needed:

  • Removing accounts for users who are no longer affiliated with the university. Specifically, 
    • Former employees who are not emeriti
    • Former students who are not currently pursuing academic work and need to reapply to the university to continue their coursework
  • Discontinuing Google Photos for the entire university
  • Providing a storage quota on Google and Microsoft storage.
