Position Description

Office Assistants are responsible for greeting clients and creating a welcoming, friendly environment within the Writing Commons; answering the Writing Commons telephone; taking phone messages in an organized manner; scheduling appointments for writers; scheduling Online Writing Lad appointments coming in by email in a timely manner; sorting, organizing, and maintaining Writing Commons email; entering information into the Writing Commons database and appointment system; assisting with office work (copying, faxing, filing, mailing, correspondence, etc.); maintaining the organization and appearance of the Writing Commons Library; answering user questions in the Writing Commons computer lab; initiating and maintaining proactive communication with Writing Commons tutors; keeping the reception and common areas tidy; supplies, monitoring handouts, brochures, and preparing these documents for duplication; keeping the Writing Commons bulletin boards accurate, attractive, and up to date. The Office Assistant will assist with clerical and data entry work for Writing Commons research projects. Other duties as assigned.

Qualifications

Office Assistants must be friendly, dependable, detail-oriented, thorough, and able to complete work without close supervision. Excellent phone skills are required. Excellent verbal communication, written communication, and keyboarding skills are required. Must be comfortable working with a diverse customer base. The Office Assistant position is not a tutoring position. Must be proficient in Microsoft Word, Excel, PowerPoint, Publisher, and all Kent State University technology platforms, including but not limited to KSU Google Drive and Blackboard Learn.The most qualified candidates are those who are flexible and perform well in unsupervised settings.  Experience as a receptionist/office assistant is preferred, but not required.
