Fall Student Employment Reminders


Online Forms: Supervisors should be using DocuSign for the processing of the following forms: Pay Raise Request, Discontinuation of Student Position Form, Pay Rate Exception Request, Offer of Student Employment Form (Kent and Regional campuses versions). The forms are accessible through the Forms Library in the Student Employment Handbook.


Posting Student Positions: Many new and returning students are currently seeking an on-campus position. As a reminder, all departments are required to post their open positions through Career Exploration and Development via Flash @ Work (online posting system) to ensure equal access under Federal law. Departments should also direct all of their candidates to apply through Flash @ Work to further comply with equal employment opportunity standards. 


Supervisors seeking to post for the first time should request access by emailing Career Exploration and Development at campusworks@kent.edu prior to creating an account.


Employment Paperwork Hours: Students may complete their employment paperwork with acceptable identification Monday-Friday, 9 a.m.-noon and 1-4 p.m. Student Employment is located temporarily in Room 104, Schwartz Center until mid-October. 
 

Position Descriptions: All departments should keep a current description for each position on file. Share the position description with student employees in the position posting, during the interview and/or orientation, and use it to guide the performance evaluation process. The On-Campus Student Employment Position Information Form located in the Forms Library illustrates the necessary components of a detailed position description.


Student Work Schedules: As you establish your student's availability to work during the upcoming semester, please keep in mind that students are not permitted to work during scheduled class times. We recommend that you are always aware of a student's current class schedule to ensure the work schedule does not conflict with classes. If a class is cancelled, dismissed early, etc., the student may work, but you should document the irregularity in the schedule.

Annual Sick Leave Conversion Period Is Here!


The annual sick leave conversion for eligible staff employees will take place Sept. 1 through Sept. 14 . During this period, eligible classified and unclassified employees with a continuing appointment may convert accrued sick leave to vacation per administrative policy 3342-6-11.2.


Eligible full-time employees who have a balance of at least 500 hours of sick leave may convert:

  • A maximum of five days (40 hours) per fiscal year of sick leave to vacation; or
  • A combined maximum of five days (40 hours) per fiscal year of sick leave to vacation and personal leave.

Eligible part-time employees who have a balance of at least 250 hours of sick leave may convert:

  • A maximum of three days (24 hours) per fiscal year of sick leave to vacation; or
  • A combined maximum of three days (24 hours) per fiscal year of vacation and personal leave.

Eligible classified employees represented by AFSCME who have a balance of at least 500 hours of sick leave may convert a maximum of five days (40 hours) per fiscal year of sick leave to vacation.


The conversion process will be done online through FlashLine. The system will tell you how much sick and vacation leave you currently have and how much you are eligible to convert. With the electronic process, employees will receive a confirmation email and will see the conversion reflected immediately in their FlashLine leave balances.

Fall Employee Wellness Speaker Series: Reigniting Your Light


Please share with faculty and staff in your department.


The Employee Wellness Office is pleased to present its first fall speaker series, Reigniting Your Light. This speaker series features topics imperative to support your personal wellbeing. Topics and guest speakers include the following:

  • Sept. 26 - Thomas O'Reilly, M.S., PCC, will share his wisdom and expertise on how your circadian rhythm affects your quality of life, not only in your sleeping hours but also in your waking hours. More importantly, he will teach us how to "dance to the rhythm." 
  • Oct. 10 - Laurel Greene Kaiser, LISW, will discuss the role of resiliency in all aspects of life and explain how we can become more resilient at any age. Kaiser will also share how improved resiliency helps us develop greater optimism, confidence and motivation. 
  • Oct. 17 - Billie Gilliam, LPCC, LICDC, will share how biological and environmental influences affect our emotional health. Learning how to appreciate these integrated influences enables us  to enhance our emotional wellbeing.

All full- and part-time employees are welcome to take advantage of the entire three-part series. However, if this is not possible, please plan to attend any sessions that your schedule permits. Each session has time built in so that attendees will have an opportunity to ask questions of the presenters. Registration is required.


Note: For full-time, benefits-eligible employees participating in the Wellness Your Way program, each session will be worth 20 points for a total of 60 points for the Reigniting Your Light speaker series.

Reminder: Employee Wellness Incentive Program - Tier Two Deadlines Approaching


Kent State's Employee Wellness Incentive Program, Wellness Your Way, allows all full-time, benefits-eligible employees to earn up to $300 in incentives by simply participating in healthy lifestyle activities. Disbursements are paid out within two pay cycles of being notified of eligibility to receive Tier One and Tier Two incentive pays, both in $150 increments.


For employees who have fulfilled their Tier One requirements by June 30, please note that your Tier Two activities must be completed by Oct. 15, 2017,* for you to receive the $150 incentive for Tier Two.


The following represents some of the remaining activities that count toward your Tier Two reward, in addition to the Fall Employee Wellness Speaker Series: Reigniting Your Light, referenced above.
