Kent State University is required to report most gifts, prizes, awards, rewards, and other incentives to the Internal Revenue Service. As of January 1, 2019, the Gift Reporting Workflow is the mechanism by which departments must provide the necessary information to comply with this requirement. Paper gift reporting forms will no longer be accepted by Accounts Payable.
Gifts must be reported by the last business day of the month in which they are given. While the purchase of gift item(s) requires VP approval, gift reporting does not. As a result, the process has been streamlined, which makes timely reporting possible. The submission deadline for gifts given in December is the day before University closure. Please keep the submission deadline in mind and plan accordingly when giving out gifts.

There are two steps involved in reporting gifts, prizes, awards, rewards, and other incentives. Instructions on completing the following two steps are found in the Gift Reporting Process and Workflow Instructions:
- Department gathers information specific about the individual to whom the gift is begin given, using the Gift, Prize, and Award Recipient Acknowledgement Form.
- Department submits the completed form through the Gift Reporting Workflow (using Internet Explorer for best performance.)
